Terms & Conditions

AEA reserves the right to change, amend, add or remove any of the Terms & Conditions at its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms & Conditions should become invalid, the remaining will continue to be valid and apply. These Terms & Conditions apply to all event participants (attendees, speakers, sponsors and exhibitors).

The views expressed by any attendee, speaker, exhibitor or sponsor are not necessarily those of AEA. All attendees, speakers, exhibitors and sponsors are solely responsible for the content of all individual or corporate presentations, marketing collateral and/or advertising.

Code of Conduct

We are committed to creating a safe, productive and welcoming environment that is inclusive and free from discrimination, regardless of race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status, or any other protected categories under applicable law.

All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, AEA staff members, service providers and all others must abide by the following policy:

Expected Behavior

  • Be considerate of those around you
  • Be respectful of others and their viewpoints, which may be different from your own
  • Be collaborative with others
  • Be mindful of your words and actions

Unacceptable behaviors may include, but are not limited to:

  • Offensive or unwanted behavior or language including, but not limited to, race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status, or any other similar categories.
  • Visual harassment, such as sexual images OR sexual language, including in presentations and slide decks.
  • Sexual harassment of any kind, such as unwelcome sexual advances or words/actions of a sexual nature.
  • Wearing attire that includes harmful or offensive language or imagery that is not appropriate for a professional setting.
  • Disruption of presentations during sessions or at other events organized by AEA.
  • Copying or taking screenshots of Q&A or any chat room activity that takes place in the virtual space.
  • Abusive action directed at an individual, such as threats, intimidation, or bullying, both online and/or in-person.
  • Sharing your AEA registration or making event content available to another person(s).
  • Possession of a weapon or something that could be construed as a weapon both online and/or in-person.
  • Possession or mention of illegal substances both online and/or in-person.
  • Inappropriate comments or stalking of fellow attendees.
  • Nudity is prohibited.
  • Any other illegal activity not already covered above.

AEA has zero tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you are the subject of, or witness to any violations, you can contact us by sending an email to info@eval.org

Cancellation by AEA

If for any reason beyond AEA’s control, AEA determines that Evaluation 2023 must be canceled, AEA will reimburse registration fees.

Cancellation by Individual 

To request a refund, you must contact AEA at registration@eval.org with documentation of your reason for cancellation by September 8, 2023. All cancellation requests will be reviewed by AEA, and if approved, will be processed within three weeks of the original request. Refunds that are approved will be subject to a $50 cancellation fee. No Refunds will be accepted, and all sales are final after September 8, 2023. 

Substitutions of registrants can be made by October 2, 2023, without a fee, by contacting the registration team at registration@eval.org.

Internet Disclaimer

AEA will provide online access for those registered for the virtual component of Evaluation 2023 via the internet by use of your internet browser. You are solely responsible for obtaining and maintaining at your own expense, all equipment needed to access the virtual component of Evaluation 2023, including but not limited to internet access and adequate bandwidth.  

USE OF OR CONNECTION TO THE INTERNET PROVIDES THE OPPORTUNITY FOR UNAUTHORIZED THIRD PARTIES TO CIRCUMVENT SECURITY PRECAUTIONS AND ILLEGALLY GAIN ACCESS TO THE EVENT AND CUSTOMER DATA. ACCORDINGLY, AEA CANNOT AND DOES NOT GUARANTEE THE PRIVACY, SECURITY OR AUTHENTICITY OF ANY INFORMATION TRANSMITTED OVER OR STORED IN ANY SYSTEM CONNECTED TO THE INTERNET.

Exhibit Booth

By entering an exhibit booth you are providing the exhibitor with your contact information and opting-in to receive communications from the exhibitor. You will be subject to their communications and privacy policy and must opt-out with them directly if you choose not to receive communications.

Liability Waiver & Release

In consideration of being allowed to register for, and participate in Evaluation 2023, you hereby warrant and represent that you are age 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue AEA or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the event, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the sole, gross negligence of AEA. You must be age 21 or older to attend social events where alcohol is served unless a parent is present. This Liability Waiver & Release is specifically binding upon your heirs and assigns and is knowingly given.

Photography/Video

On occasion you may be photographed, video-taped, audio-taped, or have screenshots taken in connection with AEA in person and virtual events and activities. As a participant of the AEA Evaluation 2023, you agree that AEA is the sole owner of all rights in and to the resulting photographs, video footage and recordings, for all purposes related to AEA’s business (both now and in the future). Your name and likeness may be used by AEA in advertising and promotional materials. Participants shall receive no compensation or royalties for appearance in any materials.

Technology Use

You may not upload or otherwise provide infringing, defamatory, obscene, pornographic, threatening, abusive, illegal or otherwise improper content. You may not upload viruses or harmful components to the virtual event platform or AEA website. You may not use the AEA website, mobile app or virtual conference platform to further any unlawful purpose or to violate the rights of any party. 

You may not upload or otherwise provide content with a commercial purpose or attempt to solicit funds or advertise goods and services via the AEA website, mobile app or virtual conference platform.

You may not utilize the AEA website, mobile app or virtual conference platform to engage in communications leading or related to an agreement in restraint of trade, to exchange specific information relating to your prices, profits, or costs, or in any other manner to limit competition or restrain trade in violation of state and federal antitrust laws.

Dress Code

The dress code at the AEA Evaluation 2023 is business casual. Participants are required to adhere to this dress code during the event.

Data Privacy

As part of your registration to the AEA Evaluation 2023, AEA will share the data you provide with third party vendors in order to process your registration, to make you aware of goods and services you may be interested in, to perform analytics on behalf of AEA, in connection with the Conference and for such other purposes as AEA may approve from time to time.
