Below are resources to help confirmed exhibitors’ plan for a successful event at the EVAL 2026 Conference. As a reminder, this event is taking place November 16 - 20, 2026, at the Charlotte Convention Center, in Charlotte, NC.

Exhibitor Service Kit
This year AEA will be working with Southern Exhibition Services (SES) as our decorator for the 2026 event. The Exhibitor Service Kit includes important resources and links for shipping information, ordering, labor, and more! Additional Services
Please refer to the SES services kit for important information for your tabletop booth. Note that if you need additional services not listed within the kit see below:
Electrical – your tabletop booth includes one (1) 10-amp electrical drop. AEA will be ordering this so you do not need to do anything additional at this time. If you need additional electrical above what is included, please contact exhibits@eval.org.
Exhibit Booth Package
As a reminder, each 10'x10' includes:
- Showcase Table - 2.5' x 6' skirted table and two (2) chairs
- Name, profile, and table number listed in the conference mobile app and on the exhibitor directory
- One (1) 10-amp drop included
- Two (2) exhibit-only registrations for your exhibit staff
Exhibitor Registration
All individuals attending the Eval 2026 Conference must be registered. You will receive a detailed email with step-by-step instructions on how to register your staff using your company's complimentary registration codes. If you have any questions or during the registration process please reach out to registration@eval.org.
Exhibitor Housing
Please be sure to book your hotel room by October 19 for the best selection and availability. Note: The group rate is only available until Monday October 19 (or until rooms sell-out, whichever occurs first).

- Wednesday, November 18: 9:00 a.m.– 4:00 p.m.
Show Dates
- Wednesday, November 18: 5:30 p.m. – 7:00 p.m.
- Thursday, November 19: 10:00 a.m.– 7:30 p.m.
- Friday, November 20: 8:30 a.m.– 3:00 p.m.
Exhibitor Move-out
- Friday, November 20: 3:00 p.m.– 6:00 p.m.

Attendee List
The Pre-Event Opt-in Attendee List will be sent 2-weeks prior to the event.
NOTE: this email will come directly from the AEA Exhibit Show Management Team. All other companies that may reach out attempting to sell a list is NOT affiliated with AEA.
Shipping
Show Management highly recommends sending your shipments to SES’s Advance Warehouse. SES will begin to accept shipments on Monday, October 19. The last day for shipments to arrive at the Advance Warehouse without a surcharge is Friday, November 6 at 4:00 PM.

IMPORTANT: Shipments may NOT arrive at the Convention Center. Any shipments sent to the Charlotte Convention Center cannot be guaranteed to be received. If you need to ship direct to Charlotte, we recommend shipping to yourself at whichever hotel you are staying at and carrying your items with you.
Invoicing
All payments are due upon receipt of your invoice. Payments must be received in full in order for you to move-in to the Exhibit Hall. Our team has sent invoices to all exhibiting and sponsoring companies, however, if you require a new copy of your invoice or want to verify your balance, please contact AEA Show Management and we will be happy to provide you with assistance.
