The Connection Center (AEA’s exhibit area) for Evaluation 2018 will provide new and valuable opportunities for knowledge-sharing, collaboration, and innovation. AEA is committed to creating an environment that promotes the goals of the organization. This new exhibit hall format has been designed to foster learning, community, and excitement around evaluation.

FAQs for Exhibitors 

How do I register as an exhibitor?

As an exhibitor, you are entitled to 2 expo hall only passes per table purchased. If you plan to register as expo hall only, please follow the instructions below:
  1. Click here to register 
  2. Fill in the exhibitor’s First Name, Last Name, and E-mail address. The vendor code* is ­­­______. Click OK.
  3. Continue to fill out the exhibitor’s information and click Next.
  4. Review the options and press Finish.

*Vendor codes will be provided by email. If you have not received or have lost your vendor code, please contact Kristen Covine at Vender codes will not be given to companies unless they are paid in full.

If you plan to attend sessions at Evaluation 2018, please register through the regular attendee portal: Link to registration page.

How does booth selection work?

Booth selection will proceed in the following order: Returning sponsors will have first priority for booth selection and then will continue in order of contracts received based on intent forms returned. If your company did not submit an intent form after Evaluation 2017, you will choose your space after all the exhibitors with an intent form and in order of date of contract received.

What is the exhibitor kit?

The exhibitor kit is produced and distributed by Fern Expositions, who is our general service contractor. This kit will provide all information regarding the Huntington Convention Center, electric, internet, shipping, lighting, etc. for exhibitors and sponsors and will be provided 4-5 weeks out from Evaluation 2018.

**Only companies who have paid in full will receive the exhibitor kit.

How and where do I ship materials needed for Evaluation 2018?

The exhibitor will be responsible for either shipping all table top items directly to the hotel or through the shipping instructions provided by Fern Exposition’s exhibitor kit. The exhibitor is responsible for movement of their shipment in and out of the hotel and receipt at booth.

**AEA is not responsible for any additional cost incurred from shipping or for lost or damaged items.

Will internet service be provided?

Basic internet will be available for attendees, but this will be limited in the event spaces. Should you need WiFi for your booth, you will need to purchase WiFi (purchase information found in the exhibitor kit).

Will security be provided?

Security is not provided in the exhibit space. Exhibitors are responsible for all materials belonging to their company or booth. Such responsibility includes providing coverage for the booth and accepting responsibility for any materials that have been left unattended in the exhibit hall.

If I am a sponsor, what do I need to do?

Sponsors need to provide high resolution files of their logos (.eps and .jpeg format). If providing AEA with materials, we will contact you with shipping information for those items.

What is the exhibitor cancellation policy?

Any cancellations or reductions of booth space must be submitted in writing via email Attn: Kristen Covine to All sales are final and no refunds will be given for cancellations or reductions 30 days prior to Evaluation 2018. For any cancellations within 30 – 90 days of the event, a 50% refund will be given.
